Participation in Outings:

 

Subject to the guest policy described below, participation in each golf outing organized by the SGA is limited to SGA Members.

Each Member is required to pay the cost of his outing at the rate per outing negotiated with the golf course by our Outing Director.  Where an outing includes a meal, there is no reduction in the cost to the Member should he decide not to attend the dinner.

Name Badges:

Before the pandemic, Members were required to wear their name badges during meals, but not while on the course.  During and after the pandemic, there have been far fewer meals, and a continuing level of turnover of Members each year, all making it more difficult for Members to get to know one another.  Beginning in 2023, therefore, Members have been asked to wear their name badges throughout each outing.

Guests:

 

A Member may invite a guest, aged 55 or older, to up to two outings in a season, as long as the booking does not prohibit a Member from playing.  The intent of the invitation must be to introduce the SGA to a guest who is a prospective Member.

 

The cost to, or for, a guest for a regular outing with no meal will be the same as that for any Member.  The guest will not be eligible for any prizes.  If the outing includes a meal that is subsidized by the SGA, the guest or his host must settle the cost of the event on the same basis as any Member, but the host Member must pay the amount of the subsidy to the Treasurer prior to the outing.  In such a case, the guest will be eligible for birdie ball prizes only.

Bookings and Cancellations:

Members are required either to book outings, or to cancel previously booked outings, using the "Manage Your Outings Bookings" pages of this website.  These pages can be found under the "For Members Only" tab.  A Member can book or cancel an outing for himself only, or for any group of Members and guests. Space is also provided at the bottom of each booking or cancellation page if a Member needs to add a brief note to the Scheduler.

 

Except for the "Review bookings" page, each of the "Manage Your Outings Bookings" pages displays a yellow "Help" button in the upper right-hand corner.  Clicking on this button will reveal full instructions as to how to use the page. 

At any particular time, the "Manage Your Outings Bookings" pages will only make the next two outings available for booking.

Over-Booking:

Our Outing Director usually agrees to limits on the number of golfers that we will book for each outing at each golf course.  All of the courses that we will visit in 2025 will be limited to 60 golfers.

 

If it looks like we will have fewer than the limit in attendance at an outing when the Final Starter's Sheet has been completed, the Scheduler will advise the golf course so that they can offer the slots to others.

On the other hand, when bookings for an outing have reached or exceeded the agreed cap, the booking system will alert any Member attempting to submit a new booking.  The Member will still have the option of submitting a booking beyond the cap in the hope that someone already booked will cancel.  This action will automatically put him on a waitlist for that outing.  If a cancellation arises before production of the Final Starter’s Sheet has begun, the first Member remaining on the waitlist will be removed and booked without any action by the Member.  The system will not notify the Member of this change in his status.  It is the Member’s responsibility to check the “Review Your Bookings” page in “Manage Your Outings Bookings” from time to time to determine whether his overbooked status has changed. To do so, he should select the outing in question on the lower half of the “Review Your Bookings” page using the “Select Other Outings” button.  If that outing is overbooked, a red dialogue box will appear inviting the Member to view the list of waitlisted players for that outing.  If he is not on that list, he can return to the full listing of bookings on the upper part of the page – he will find his name on that list to confirm his booked status.

Publication of Starter's Sheet:

 

Normally, the Scheduler will publish an Interim Starter's Sheet on this website on the Thursday before a Monday outing (or on the Sunday before a Wednesday outing), followed by a Final Starter’s Sheet on the Friday before a Monday outing (or on the Monday before a Wednesday outing). Members are advised to consult the Starter's Sheets as early as possible in order to ensure that their bookings have been properly recorded.

Late Cancellation of Committed Outing Booking:

 

The Scheduler will submit the Final Starter's Sheet to the golf course on the Saturday before the usual Monday event (or on the Monday before the less frequent Wednesday event).  Every Member and guest entered on the Final Starter's Sheet will be considered fully committed to attending at the golf course.

Any Member who, for himself or his guest, intends to cancel from an event after publication of the Final Starter’s Sheet must advise of the cancellation as follows:

(1) Notify the golf course by telephone.  The name of the person who takes your call should be noted!  To find the telephone number for each of the golf courses that we will visit this season, click here
 

(2) Notify the SGA Scheduler by email.  Go to the “Contact the Scheduler” page on this website [click here] and complete and submit the form as directed.
 

(3) Notify at least one Member of the foursome to which you have been assigned on the Final Starter’s Sheet.  The telephone numbers and email addresses of all SGA Members can be found on the “Member Contact List” on this website [click here].

Where a Member, whether for himself or his guest, has cancelled a booking after publication of the Final Starter’s Sheet and has failed to complete the three requirements above, or where the Member or his guest is a no-show at the golf course, the Member will be subject to an assessment of the greater of $40 or the total of any costs imposed on the SGA because of the cancellation.  A Member may be assessed the total of any costs imposed on the SGA because of a cancellation even if he has satisfied all the requirements above. The Treasurer may provide relief from this penalty if warranted by the circumstances.

Rain Cancellation Notice:

 

If he considers it likely that an outing may be cancelled or severely disrupted by a soaking or long duration rain, the Scheduler will contact the golf course as early as possible before the event to agree upon the appropriate course of action. If a decision is made to cancel the outing, the Scheduler will immediately notify all Members by email to prevent needless driving to the course.  He will also advise the Website Director who will post a notification on the website.

 

Members booked for an outing likely to be affected by such weather events should check their emails or the SGA website, or contact the golf course.
